By enrolling at ELS Dance Group, you confirm that you have read, understood, and agreed to the following Terms & Conditions.
These policies exist to ensure a safe, respectful, and enjoyable experience for every member of our community. ELS Dance Group reserves the right to update these terms from time to time, and families will be notified of any material changes.
Our Community: ELS Dance Group is a dance studio located in Kealba, in Melbourne's west. We have been proudly serving the Brimbank community for over 11 years. Our motto, Where Dance Meets Community, reflects everything we stand for. We are a community-first studio, and we hold everyone in our community to a standard of kindness, respect, and genuine inclusion.
Enrolment: Enrolments are accepted on a term-by-term basis and roll over automatically each term within the same calendar year. Re-enrolment is required at the beginning of each new year to retain your place.
To cancel an enrolment, written notice must be provided to the admin team before the start of the following term.
ELS Dance Group operates in line with Victorian school term dates. No classes are held on public holidays or during school holiday periods. Where required by government restriction or lockdown, classes may be delivered online. No discounts or refunds apply where online classes are made available as an alternative.
Fees & Payments: An annual administration and insurance fee is charged per family, once per calendar year, either at the start of the year or upon enrolment. This fee is non-refundable. Please contact our admin team or refer to our current fee schedule for the applicable amount.
All class fees are charged by the term and must be paid in full or set up on a payment plan by the due date to secure your enrolment. A $10 late fee applies for every week an invoice remains overdue. If you are experiencing financial difficulty, please contact our admin team before the due date to make a prior arrangement.
Payments can be made via Direct Debit, EFTPOS, or cash. A surcharge applies to Online, Direct Debit and EFTPOS transactions. Term fees cover class tuition only and do not include uniforms, concert participation fees, costumes, workshops, competitions, or event entry fees.
If a scheduled payment plan direct debit fails more than two consecutive times, a Failed Payment Fee of $5 will be applied.
Refunds & Cancellations: Term fees are non-refundable once a term has commenced. The only exception is where a medical condition or injury prevents the student from attending for the remainder of the term. In this case, a valid medical certificate must be submitted to the admin team within 7 days of the last attended class. Upon approval, a pro-rata account credit will be applied for the remaining classes of that term or a pro-rata refunded will be applied, depending on circumstance.
Credits are valid for 12 months and may be applied toward future term fees, workshops, or concert fees.
Make-Up Classes: Make-up classes are available for absences for any reason including but not limited too; illness, public holidays, or clashes with ELS concert events. All make-up classes must be booked through the admin team or through our portal and completed within the same term the class was missed.
Child Safety: ELS Dance Group is committed to the safety and wellbeing of every child in our care. All staff hold current Working With Children Checks, First Aid certification, and CPR certification. Our studio operates in accordance with our Child Safety Policy, which is available on request. Parents and guardians are required to inform the admin team of any relevant medical conditions, allergies, or circumstances that may affect their child's participation.
This information is held confidentially and shared only with relevant staff. In the event of an accident or medical emergency, ELS Dance Group staff will administer appropriate first aid and contact emergency services where required. Every reasonable effort will be made to contact the parent or guardian on file.
ELS Dance Group is fully insured and carries ambulance cover for all enrolled students. ELS is not legally liable for injuries sustained during participation.
Drop-Off & Pick-Up: Parents and guardians are required to drop off and collect children from inside the studio — not from the car park or street. Children who are not yet toilet independent must be accompanied by a parent or guardian who remains on-site for the duration of the class. ELS Dance Group is not responsible for the supervision of students outside of scheduled class times.
Please ensure your child is collected promptly at the end of each class.
Photography & Video: ELS Dance Group may use photographs and video footage taken during classes, rehearsals, and events for promotional purposes, including on our website, social media channels, and printed materials. If you do not wish for your child to appear in promotional content, please notify the admin team in writing at the time of enrolment and we will make all reasonable efforts to exclude them from published material.
You agree not to share photographs or videos taken at ELS events that include other students without first obtaining consent from their families. If your child is inadvertently included in any published content, please notify us immediately and we will arrange for its removal.
Privacy: ELS Dance Group collects personal information for the purposes of enrolment administration, communication, emergency contact management, and service improvement. Your information is stored securely and will not be sold or shared with third parties, except where required by law or as necessary to operate the studio — for example, through our enrolment and CRM platform, Momence. You have the right to access and update your personal information at any time by contacting our admin team.
Concert Participation: Participation in the ELS end-of-year concert is optional. Additional fees apply and will be communicated in a separate notice ahead of the concert season. Families who choose to participate agree to the costs and conditions outlined in that communication.
Behaviour & Conduct: ELS Dance Group is built on community. We expect all students, parents, and guardians to treat staff, students, and other families with respect at all times.
Behaviour that is abusive, threatening, or aggressive will result in a written warning. ELS Dance Group reserves the right to cancel an enrolment without refund in the event of repeated or serious breaches of this standard. Students are expected to arrive on time in full uniform with hair neatly presented and a water bottle.
Students should use the bathroom before class, listen respectfully to their teachers, and refrain from using mobile phones during class unless in an emergency.
We ask that all students act as positive role models and uphold the values of our studio community.
Communications: Families are responsible for staying up to date with studio communications sent via email and through our enrolment platform, Momence. Important updates regarding term dates, fees, events, and policy changes will be shared through these channels.
